Email deliverability and outbound support for recruitment agencies
Give each client conversation a clear route from the first email to the right consultant. Neotiqa can investigate missing messages, build the sending setup behind business development and connect reply handling to your ATS or CRM.
- How can Neotiqa support a recruitment agency?
- We provide the email and sales operations work behind agency business development, including deliverability assessments, sending infrastructure, workflow implementation and separately scoped managed outreach. Your consultants retain responsibility for client relationships, candidate decisions and recruitment delivery. Support is available remotely across the UK.
Separate new business activity from live recruitment conversations
A consultant approaching a hiring company, a colleague confirming an interview and a client receiving a shortlist are sending different kinds of message. Start by identifying which route is failing and who is affected. A change intended for a prospecting sequence should not be applied blindly to every agency mailbox.
Map the sender, mailbox, application and recipient for each route. Collect a small, appropriately redacted set of examples with dates and outcomes. A platform marking an email as delivered does not establish which folder received it. Our guide to delivered email missing from the inbox explains the evidence to look for.
If the problem is new business follow-up, agree the desk, specialism and client offer before building a sequence. An employer looking for permanent appointments and one buying temporary staffing need different context. The sending and reply process should preserve that context for the consultant.
Keep the work focused
An email investigation can be commissioned on its own. It does not require a new ATS, a mailbox migration or a managed campaign. We propose changes after identifying the route and the evidence available.
Choose a starting point for your agency
| What is happening | A useful first scope | What you receive |
|---|---|---|
| Client messages appear to be missing or going to junk | Investigate the affected senders and recipients, authentication and available delivery evidence. | A written findings note, prioritised actions and ownership of the next checks. |
| New business outreach is running from an unclear mix of tools and mailboxes | Review provider fit, sending identities, access, authentication and reply routing. | An agreed sending design, implementation scope and handover checks. |
| Replies are arriving but the right consultant is not following up | Map desk ownership, ATS/CRM records, sequence stops and fallback routing. | A documented workflow with controlled tests for assignment, duplicates and failed updates. |
Make the ATS, CRM and sending tools agree on the next action
Choose where the authoritative client, contact, account owner and suppression records live. Before adding someone to a business-development sequence, check the agreed exclusions, including existing clients, open conversations and people who have opted out of the activity.
Company and person records need separate handling. Two consultants may work different roles at the same employer, while a contact may change employers. Define how the team resolves those cases instead of relying on an email-address match to decide every relationship.
We scope integration around the access, exports and API features your actual tools support. A missing connector or subscription limitation is identified before committing to a build. Your team should know which updates are automatic, which require a person and what happens when a sync fails.
A clear handover for each reply
- The original thread and relevant campaign context
- A named consultant or desk, with absence cover
- The required sequence stop or suppression action
- A visible task and a way to detect failed routing
Build around your consultants’ working day
The engagement starts with a written scope. Assessment, implementation and campaign operation can be commissioned separately.
Identify the gap
Review the affected email route or business-development workflow with the person who owns it. Agree the evidence and access required.
Agree responsibilities
Define what Neotiqa changes, what your administrator approves and what consultants handle. Confirm provider constraints and the intended audience.
Test the handover
Use controlled contacts to check an interested reply, an opt-out, duplicate events, an absent owner and an update that fails.
Document and review
Hand over the configuration and operating instructions. For managed work, review conversations and follow-through against agreed definitions.

Can you investigate candidate emails as well as client emails?
A deliverability assessment can include either route within the agreed scope. We first identify the sender, application and symptoms. Candidate communication is considered separately from client-development outreach, with access limited to the evidence needed.
Do you source candidates or make recruitment decisions?
This service covers email delivery and the systems behind agency business development. It does not include candidate sourcing, screening, selection or placement. Those activities remain with your recruitment team.
Can you work with our existing ATS or CRM?
We assess the access and integration options available in your tools before agreeing the build. Where a direct connection is unsuitable, we can scope an approved export or a documented manual handover. We do not assume every platform or subscription supports the same features.
Can we improve reply handling without outsourcing business development?
Yes. We can scope a defined workflow while your consultants keep the outreach and client conversations. The starting point may be ownership, sequence stopping or a failed ATS/CRM handover. Read the reply-handling guide for practical checks.
Do you guarantee new clients, placements or inbox delivery?
No. We agree the work, acceptance checks and reporting. Delivery evidence, interested replies, client conversations, vacancies and placements are different measures and should be recorded separately.
How should we prepare for the first conversation?
Tell us which email provider, ATS/CRM and outreach tools you use, which team is affected and what is happening. Please do not send credentials, candidate CVs or contact lists through the enquiry form. Any evidence sharing is agreed separately.
Practical checks before you change the setup

Where is your agency losing the thread?
Tell us whether the problem is reaching the inbox, preparing new business outreach or getting replies to the right consultant. We can agree a focused starting scope.
