Information we use and where it comes from
You choose what to provide when you contact us. We need enough information to understand your enquiry and reply. Please do not send passwords, mailbox credentials, contact lists, message samples or other confidential material through a website form. Where an engagement needs access to systems or data, we agree it in writing first.
For business introductions, we use publicly available business information, including company websites, business directories and professional networking profiles, and business contact data from licensed B2B data providers. This may include a contact name, role, company and work email address. Where an introduction refers to a company domain, the observations come from public DNS records such as SPF, DKIM and DMARC, including the sending platforms those records show as authorised, and from public blocklist listings, all of which anyone can look up. You can ask us which source the information we hold about you came from.
- Enquiries: your name, company, email address, any telephone number or website address you provide, the service you are interested in and the contents of your message. When available, the enquiry also includes the Neotiqa page from which you opened the contact form. This helps us understand which pages lead to enquiries. It does not include your browsing history or the details of visits to other websites.
- Engagements: business contact details, correspondence, and the information needed to scope, deliver and administer agreed work. Technical data examined during an assessment, such as message headers or configuration exports, is handled under the written scope for that engagement.
- Marketing preferences: an email address, the request you make and the information needed to record and respect an opt-out.
- Website operation: technical information handled by our hosting services, such as IP addresses, browser information, requests, timestamps and security or error logs.
Why we use information and our lawful bases
Legitimate interests does not override the rules on electronic marketing. Where PECR requires consent, we need that consent or a valid exception before sending marketing. The received-an-email page explains the distinction between corporate subscribers and individual subscribers.
An enquiry through this website is not consent to marketing. We use enquiry details to reply to you and to discuss the services you asked about.
We do not use this website to make solely automated decisions about people that have legal or similarly significant effects.
- Responding to enquiries and managing business relationships: our legitimate interests in answering requests and providing services to business clients. If you personally enter a contract with us, or ask us to take steps towards one, we use the contract basis where it applies.
- Relevant business introductions: our legitimate interests in introducing our services to businesses with relevant sales, marketing or IT functions, where our assessment of purpose, necessity and the impact on individuals supports this use.
- Running and protecting the website: our legitimate interests in maintaining a reliable service, identifying faults and preventing misuse.
- Maintaining business records and handling rights requests: compliance with applicable legal obligations. We also have a legitimate interest in keeping appropriate records and dealing with legal claims.
- Activities that require consent: consent, which you can withdraw at any time.
Who receives information
We use Vercel to host this website, Resend to deliver form submissions, and email service providers for business correspondence. Information submitted through our forms is sent to Neotiqa so we can handle the request. Enquiries are not added to outreach lists or marketing sequences.
During managed outreach or infrastructure engagements, we use sales engagement, data verification and sending platforms as processors under written terms, limited to the client work concerned. We may also share information with professional advisers when needed, or with public authorities where the law requires it. Access is limited to what is needed for the relevant purpose. We do not sell personal information.
Processing outside the UK
Hosting, email and sales tooling services may involve processing in countries outside the UK. Where UK international transfer restrictions apply, appropriate safeguards are required, such as an applicable adequacy decision or approved contractual protections. Contact Peter Black at hello@neotiqa.com for information about the providers and transfer arrangements relevant to your information.
How long we keep information
We keep information for the time needed for its purpose. For enquiries and business correspondence, we consider whether the enquiry is still active, whether there is an ongoing client relationship, applicable record-keeping duties and any need to establish or deal with a legal claim.
Technical material examined during an engagement is retained according to the written scope for that engagement and deleted or returned when it ends, unless we agree otherwise in writing.
Technical information is retained according to the hosting service and the time needed to operate the site, investigate faults and address security issues.
When you opt out, we retain the minimum details needed on a do-not-contact list for as long as we need to prevent future marketing to you. This record is used to respect your choice, not to send marketing.
Cookies, analytics and similar technology
This website uses Vercel Web Analytics to count page views and referrers. It sets no cookies, does not identify individual visitors and does not follow you to other sites. We do not use advertising cookies or third-party tracking. Hosting and security services may process technical information necessary to deliver and protect the website.
If we introduce cookies or similar technology that requires consent, we will explain it and ask for your choice before using it.
Your rights and marketing choices
You can object to the use of your personal information for direct marketing at any time, without giving a reason. We act on opt-outs promptly and aim to complete the updates to our records within two working days. You can use our opt-out form, reply to an email from us or email hello@neotiqa.com.
Depending on the circumstances, you can also ask to access, correct or erase your information, restrict its use, object to processing based on legitimate interests, or receive information you provided in a portable format. Where we rely on consent, you can withdraw it without affecting the lawfulness of earlier processing.
Contact Peter Black using the details above to exercise your rights. You can complain directly to the Information Commissioner’s Office. You do not need to contact us first, although we welcome the opportunity to resolve a concern.
Changes to this policy
We will update this page when our services or handling of personal information change. The date on this page shows when the policy was last revised.
