A managed outbound programme, not just more emails.
Done-for-you cold email that respects the foundations: dedicated infrastructure, sourced and verified lists, copy written and tested, two-step sequences by default, and every interested reply handed to a person on your side. You deal with the conversations. We deal with everything before them.
- What is managed outreach?
- Managed outreach is a cold email programme run on a client’s behalf: defining the audience, sourcing and verifying contacts, writing and testing the messaging, operating the sequences on dedicated infrastructure, categorising the replies and handing interested responses to the client’s sales team, with reporting on an agreed cadence. The client approves the audience and the messaging and owns the follow-up.
Volume is not the product. Conversations are.
It is easy to buy sends. It is harder to buy outreach that is targeted, personal enough to be worth reading, sent from infrastructure that will not damage your brand, and followed up by someone who knows what to say. That is what a managed programme has to deliver, and it is why the foundations come first: audience, data quality, infrastructure and copy, in that order.
Sequences are short by default, an initial email and one follow-up, because a relevant message to the right person does not need six chasers. Reporting counts what matters: unique prospects contacted, human replies, positive responses and qualified conversations, with the same denominators every week.
Responsibilities on both sides
- Neotiqa: audience research, data, infrastructure, copy, sequence operation, reply categorisation, reporting
- You: approve the audience and the messaging, answer interested replies quickly, tell us what converted
- Campaign management, reply qualification and meeting handling are different scopes. We do not claim to close your sales
What is included
Agreed in a written scope with the audience, volumes, cadence and reporting set out before the first send.
Audience and data
- Ideal customer profile definition with you, including who is out of scope
- List research, enrichment and email verification before anything is sent
- Exclusions: existing customers, open opportunities, competitors, people who have opted out, and anyone you name
- Segmentation so each sequence speaks to one kind of buyer
Messaging
- Offer and messaging development with you, written in your voice and checked for the claims it makes
- Two-step sequences by default: an initial email and one follow-up
- Controlled testing of angles and segments, one variable at a time
- Clear sender identity and an easy way to opt out in every message
Infrastructure and operation
- Dedicated domains and inboxes, warmed and ramped within provider limits, as described under outbound infrastructure
- Recipient-environment matching between Microsoft-hosted and Google-hosted prospects
- Daily monitoring of bounces, blocklists and placement signals, with sending paused when the evidence says so
- Suppression lists maintained and applied to every upload
Replies and reporting
- Reply categorisation: interested, later, not now, referral, out of office, unsubscribe
- Interested replies handed over the same working day, with the context
- Weekly updates and a monthly review where scoped, with consistent denominators
- Optimisation based on what converted, not on open rates
How a programme starts
The first sends happen after the infrastructure is ready and the messaging is approved, not before.
Discovery
Your offer, your best customers, what has worked before and what has not, and the outcomes you will judge the programme on.
Audience and offer
The profile, the exclusions, the segments and the messaging, approved by you in writing.
Infrastructure and readiness
Dedicated domains and inboxes set up, authenticated and ramped, with the sending plan agreed.
Data and copy
Lists built, enriched and verified; sequences written, tested and loaded with suppression applied.
Launch and optimise
Sending starts at the planned ramp. Replies are categorised and handed over, and the programme is adjusted on the evidence at each review.
What the reporting shows.
Every number has a stated denominator. Automated replies are separated from human ones, and open rates are not treated as a success measure.
| Measure | What it counts | Why it matters |
|---|---|---|
| Unique prospects contacted | People who received at least one message in the period | The real denominator for everything else |
| Sends and bounces | Messages sent, and the share that bounced, by domain and inbox | Data quality and infrastructure health |
| Human replies | Replies written by a person, excluding auto-responses | Whether the message is worth answering |
| Positive responses | Replies expressing interest or asking a question | The output you are paying for |
| Qualified conversations and meetings | Where tracked with you, what those responses became | The link to pipeline, owned by your team |
Compliance, in plain terms.
Programmes are business-to-business. In the UK, marketing email to corporate subscribers such as limited companies does not generally need prior consent under PECR, but the sender must be identified and every message must offer a way to opt out. Sole traders and some partnerships are treated as individuals and are handled differently. Where personal data is used, we rely on legitimate interests supported by a documented assessment, and we stop the moment someone objects.
Opt-outs are honoured and suppressed across the programme. Recipient type, jurisdiction, transparency and data use are scoped with you, because the rules differ by country and the client remains responsible for its own compliance. This is a summary for general understanding, not legal advice, and ICO guidance is under review following recent legislation.
Optional LinkedIn support
Profile readiness, audience research, messaging and coordinated follow-up can sit alongside email where scoped. LinkedIn work stays inside the platform’s permissions and operating limits. We do not promise volume, automate account activity without restriction, or claim immunity from restrictions.
What a managed programme does not include
- No guaranteed number of meetings, replies or pipeline. Results depend on the offer, the audience and the follow-up, and we report them honestly.
- No free pilots or first-month-free promotions. Programmes are scoped and quoted around audience, infrastructure and delivery responsibility.
- No closing on your behalf. Interested replies are handed to your team with context; the conversation is yours.
- No unlimited service. Reporting cadence, review meetings and ad hoc support are set in the scope.
Questions about managed outreach
How quickly will we see replies?
Infrastructure has to be ready before the first real send, and early volume is deliberately low while the setup is ramped. After that, replies depend on the offer and the audience. We report from the first week and adjust on the evidence rather than promising a date.
Who writes the emails?
We draft them with you, in your voice, and you approve every sequence before it runs. Claims about your product are checked with you first, because a message that cannot be defended on a call should not be sent.
Where do replies go?
To a shared or dedicated inbox that we monitor, categorise and forward. Interested replies reach the person you nominate the same working day, with the thread and the context. You can also have them routed into your CRM through GTM engineering.
Will you send from our main domain?
No. Cold sequences run on dedicated outreach domains and inboxes set up for the purpose, which protects the corporate domain from the reputation effects of prospecting volume.
How is a programme priced?
Each programme is quoted after discovery, based on the audience, the volumes, the infrastructure needed and the reporting cadence. You receive a written scope and price before anything starts.
What do you need from us to make it work?
A clear offer, someone who can answer interested replies quickly, honest feedback on what converted, and approval of the audience and messaging. Programmes fail most often on slow follow-up, so we ask about it up front.
